Requirements:
A Grade 12 qualification is required, and having a tertiary qualification at NQF level 5 in Office Administration, Public Administration, or Information Management would be advantageous. No prior experience is necessary for this position.
Requirements include knowledge of data capturing, analysis, and management, as well as document management (including storage, retrieval, and archiving), and understanding of the legislative framework governing the Public Service and Batho Pele Principles.
Skills needed are basic computer literacy, report writing, good oral and written communication, strong interpersonal skills, planning and organizing abilities, problem-solving, client orientation, basic analytical skills, basic financial management skills, and basic numeracy skills. Personal attributes include reliability, a client-focused attitude, attention to detail, trustworthiness, honesty, and maintaining high levels of confidentiality.
Duties:
Collect all completed Reaction Evaluation Questionnaires (REQs) from participants and Facilitator Feedback Forms (FFFs) from facilitators after each NSG ETD intervention, and input them into the NSG Training Management System. Produce reports for the Deputy Director: Outcomes and Impact detailing the flow of REQs and FFFs received for inputting. Organize the storage of REQs and FFFs copies (both electronic and hard copies) weekly after generating reports. Furnish programme managers, coordinators, and auditors with copies of reports, REQs, and FFFs upon request.
Respond in writing to audit queries regarding data input or generated reports. Assist management with data needed for report generation. Validate the information in REQs and FFFs for accuracy. Highlight key issues raised by participants and facilitators in written comments and scores. Report urgent matters to the relevant Deputy Director. Complete the recommendations section in the FPE report based on analysis of each ETD intervention.
Attend meetings and provide feedback on data authentication and challenges in data input. Compile Facilitator and Participant Evaluation (FPE) reports using REQs and corresponding facilitator feedback for each ETD intervention (both face-to-face and online/virtual). Generate monthly and quarterly statistical reports showing the number of REQs, FFFs, and any special projects captured during specific periods. Create quarterly trend reports on facilitator usage.
Process both qualitative and quantitative data. Submit reports to Programme Managers for distribution. Implement operational management, service standards, standard operating procedures, total quality management, and digital transformation. Maintain the e-filing system for all data forms received after ETD interventions for audit purposes.
