About the Post
The Department of Traditional Affairs is currently seeking an administrative assistant to enhance its operational efficiency. This role is vital in ensuring smooth administrative processes within the unit. The successful candidate will be responsible for developing and managing an efficient filing system and the flow of documents, ensuring that all paperwork is systematically organized for ease of access.
In this position, the administrative assistant will receive and distribute documents to members of the National House of Traditional Leaders (NHTKL) and maintain appropriate registers to record these documents. Filing and managing paperwork for various committees will be essential, alongside establishing effective document tracking systems to streamline communication and information flow.
Secretarial support services are also a key component of this role. The assistant will coordinate and prepare documentation for committee meetings, workshops, public hearings, and outreach activities. Responsibilities include compiling agendas, attendance registers, minutes, and reports, as well as drafting memoranda and correspondence as directed by committees.
Lastly, the administrative assistant will provide comprehensive administrative support services, which include arranging logistics for travel, meetings, workshops, public hearings, and conferences for the committees. This multifaceted role aims to support the committees in their ultimate objectives while ensuring that all administrative tasks are executed efficiently.
Requirements:
- A Grade 12 Certificate or equivalent qualification
- Certificate in Office Management/Secretarial Studies
- At least one (1) year of experience in office management and administration.
- A Post-Matric qualification will serve as an added advantage
